Privacy notice for applicants
This notice explains how applicant data is processed in buubo when you apply for work through an AI-assisted interview.
Roles
Controller (the employer)
The controller is the employer organisation you send your application to. It decides how your application is used in recruitment and is responsible for the applicant data.
Processor (buubo)
buubo provides the software used to run the interview and store the data. buubo acts as a processor on the controller's instructions and does not use applicant data for its own purposes.

What data is collected
We collect what you tell us in the interview plus technical data about the application.
- Contact details: name, phone number, email, city
- Work-related information: experience, skills, languages, certifications, driving licence and vehicle
- Availability: when you can start and what kind of work you are looking for
- Interview messages and their Finnish translations
- AI-generated summary and structured profile
- Consents you gave and the status of your application
Why the data is processed
Your data is processed to evaluate your application, contact you and manage the recruitment process. Processing is based on your consent and the employer's legitimate interest in recruiting.
AI-assisted interview
The interview questions and the structuring of your answers are produced with AI. The AI does not make automated hiring decisions — a human always reviews your application.
- Speech transcription: if you speak, your browser converts speech to text. Only the text is stored, never an audio recording.
- Translation: your answers may be translated into Finnish so supervisors can read them.
- Information extraction: structured details (experience, certifications, availability) are extracted from your answers.
- Interview messages are stored so the employer sees the conversation as it happened.
Talent pool
If you separately consent, your profile may be kept in the employer's talent pool and you may be offered future work opportunities. You can withdraw this consent at any time.
Retention
Data is kept only as long as the recruitment or talent-pool membership requires. The employer sets the retention period in the service, after which the data is deleted or anonymised.
Who sees your data
Only users of that employer organisation can see your data. Different employers' data is technically isolated. buubo uses cloud and AI sub-processors that handle data only under buubo's instructions.
Your rights
You have the right to:
- know what data is stored about you and receive a copy
- have inaccurate data corrected
- request deletion of your data
- withdraw your consent, for example talent-pool membership
- restrict or object to processing
- lodge a complaint with your data protection authority
Deletion and access requests
You can request deletion or a copy of your data by contacting the employer you applied to, or buubo support. The employer can act on the request directly in the service: applicant data can be exported to a machine-readable file or erased.
